Affiliate Lists in Outlook

Affiliate Faculty Distribution Lists for COM Faculty and Staff Using Microsoft Outlook 2007.

1. Open Outlook and click on the “Folder List” icon as seen below. It may look like the other example for some.

2. At the bottom of your mailbox folder list, there should be a folder icon named “Public Folders”. Expand that folder and browse to “Affiliate Faculty” under COM Distribution Lists as seen below. Path should be Public Folders→ All Public Folders→COM→COM Distribution Lists→Affiliate Faculty.

3. Under “Affiliate Faculty” are all the affiliate faculty contacts for their respective locations. When you click on one of them, the contacts should load in the main Outlook window. To make these contacts show up in your address book, you must right-click on a location and go to “Properties”. When the properties window appears, click on the “Outlook Address Book” tab at the top. Check the box next to “Show this folder as an email Address Book” as seen below. You will need to do this for each group of contacts that you want to show up in your address book.

4. While in a new message, go to your Outlook Address BookAddress Book Icon or click on 'To'To Icon. Drop down the address book list and you will see the Affiliate Faculty contact groups that you added under “Outlook Address Book” as seen below. You can select the desired contacts group and the contacts will be displayed below. To select all the contacts for that location, click on the first entry to select it and press Shift + End. Once they are all highlighted, click “To ->” and the contacts should fill into the blank space. Press OK to return to your mail message. PLEASE NOTE: This will only send an email to the contacts that have an email address on file in the Public Folders COM Affiliate Faculty Distribution Lists.
